Easily Manage Your Residential Services

Providing 24-Hour residential services can be quite the challenge for provider agencies, particularly when this service is typically provided to clients with higher support needs. Keeping track of client attendance, managing employee schedules, ensuring employee training compliance, billing for services, and paying employees are just a few of the essential responsibilities to provide ongoing quality care. When agencies work with DCI, they receive instant access to a robust set of tools needed to better manage both employees and clients in residential settings.

Why DCI for Residential Services?

DCI has developed a software program that is customized for clients who are receiving residential care 24/7. To make service tracking easier, authorizations are recorded in daily or monthly units; in this framework, attendance is recorded daily unless an absence is added into the system. The attendance entries in the program will withdraw from the billing authorization and generate entries for the client’s account. Employees providing services can seamlessly clock in and clock out of a shared program file created for each client.

Manage Your Residential Services Frequently Asked Questions

Service providers can run into challenges when managing caregivers who work with residential clients. Maintaining best practices related to residential care is heavily dependent on the services being accurately recorded. DCI has worked with countless clients to address many concerns about managing caregivers who provide residential services. The following are the top three FAQs from residential service providers:

Question: As a large provider of residential services, we are worried about employees clocking into the timekeeping system when they have yet to arrive at the program. Our site managers oversee multiple locations and can’t always confirm staff attendance. With our client base unable to communicate if the caregivers arrive, what else can we do to ensure our caregivers are at work when they say they are?

DCI’s Solution: The DCI system offers an option to link a residential program file to a static IP address. With this feature, employees are unable to clock in remotely and must login through the program’s computer system. Agencies are able to have the assurance that employees are on site when they clock in.

Question: Our agency serves populations who do not require caregivers during sleeping hours. However, our caregivers are required to arrive on the job by 6:00am to provide daytime support. Our site managers are not available to be at each location at this time to confirm employee arrival. How can the system prevent our employees from chronic tardiness and leaving clients unattended?

DCI’s Solution: With the DCI scheduling module, the system automatically compares scheduled hours against the actual time worked. If the caregiver doesn’t arrive on time, a notification can be sent via text and/or email to the assigned site manager. Within the system, you can decide what timeframe is considered tardy (5 minutes, 10 minutes, etc…).

Question: As a multi-state provider, we rely on a centralized billing office. However, client absence information has not been transmitted to the office accurately and on time. How can the system assist with preventing late or inaccurate claims?

DCI’s Solution: Our residential services module automatically generates attendance entries for clients on a daily basis. The site manager is only responsible for entering absences and approving the attendance recorded at the end of each billing cycle. The record is then automatically transmitted to the billing office for claim submissions.
