EVV Best Practices

The 21st Century Cures Act requires every state to develop an Electronic Visit Verification plan by 2019. All home care agencies will be required to use this system when submitting their bills for Medicaid reimbursement or through waiver programs. While this might appear to be a hassle at first, EVV does provide several benefits for managing your agency. It makes compliance with time reporting easier and it helps speed up the time spent processing your billing and payroll.

Hurdles You Could Face with EVV

With EVV, your agency will be required to develop a system for your workers to electronically report their arrival and departure times for each care visit. And during your transition period, there may be a few hurdles to get past during your EVV implementation. Your workers’ reported times won’t be perfect. If they arrive for a 9 AM appointment at 8:55 AM, the recorded time will be 8:55 AM. Likewise with departure times, if the worker scheduled to leave at 12 noon, but leaves at 12:05, the verified time is 12:05. Personal care visits might need to be rounded up or truncated according to the rules of your funding source. Personal care visits are billed in 15-minute increments for many Medicaid programs. You will need to verify whether the program will pay for only completed 15-minute blocks or will allow you to round up or down. Your workers might be resistant to your new EVV system. You can avoid this problem by making sure it’s easy to use.
